SUMMARY



Reporting to the Human Resources Director , the incumbent is responsible for assisting activities related to human resources and providing administrative support to this group. During the first few weeks the incumbent will help with reducing the backlog of files.


KEY RESPONSIBILITIES

  • Carry out administrative tasks such as filing drafting reports etc.;

  • Respond to questions and requests for information from employees, professors and the general public in a timely manner;

  • Draft communications to employees or other documents related to human resources;

  • Assist with various files and/or projects related to human resources and provide follow-up as required;

  • Assist in the staffing process for assigned positions, (scheduling interviews, hiring, contracts, follow-up and filing);

  • Process the hiring and rehiring of employees in Workforce Now, the HRIS system and give employees access to the system;

  • Ensure the accurate updating of human resources data in Workforce Now, the HRIS system;

  • Support payroll production by entering data and conducting searches in physical files or in the systems as needed;

  • Prepare, develop and/or update various reports using the HRIS, Excel, online reporting

  • On-going monitoring of files, reports, spreadsheets and contracts, etc.


EDUCATION, EXPERIENCE, AND KNOWLEDGE


  • Post-secondary education in human resources, administration or a related field, plus at least one (1) year of experience in human resources, or a combination of education and equivalent experience

  • Bilingualism required (English and French)

  • Experience in customer service

  • Experience with ADP or any integrated human resources system would be an asset

  • Experience in payroll

  • Good understanding of software (Microsoft Office, Excel, email, Internet, Adobe Acrobat)

  • Strong communication skills, and excellent interpersonal skills

  • Availability and flexibility to be able to react to emergencies

  • Ability to set priorities and excellent time management skills

  • Ability to work as part of a team

  • Sense of initiative, autonomy and organization

  • Good judgment, and demonstrated tact and discretion

  • Attention to detail

  • Professionalism - ability to keep employee data confidential

R‰SUM‰



Relevant du Directeur des ressources humaines, le titulaire sera chargİ d'assister des activitİs reliİes aux ressources humaines et de fournir un soutien administratif au Service. Au cours des premi¨res semaines, le titulaire du poste contribuera   rİduire les dossiers en attente.


FONCTIONS PRINCIPALES
  • Effectuer des t˘ches administratives telles que le classement des dossiers l'İbauche de rapports, etc.;

  • Rİpondre aux questions et aux demandes de renseignements de la part du personnel, du corps professoral et du public en gİnİral;

  • Rİdiger des lettres, communications aux personnels ou autres documents liİs aux ressources humaines;

  • Participer   de nombreux dossiers et/ou projets variİs en mati¨re de ressources humaines et effectuer des suivis;

  • Appuyer le processus de dotation pour les postes assignİs (sİlection, embauche, contrats et suivi);

  • Appuyer l'embauche et la rİembauche des employİs dans le syst¨me Workforce Now (SIRH) et donner les acc¨s au syst¨me aux employİs;

  • Assurer la mise   jour des donnİes des ressources humaines dans le syst¨me Workforce Now (SIRH);

  • Appuyer la Conseill¨re, rİmunİrations et avantages sociaux avec des rİconciliations, des recherches dans les dossiers physiques ou dans les syst¨mes au besoin;

  • Prİparer, İlaborer et/ou mettre   jour divers rapports   l'aide du SIRH, d'Excel et des outils de rapport en ligne.

  • Maintenir   jour diffİrents tableaux tels que la classification des postes, les contrats, etc
  • FORMATION, EXP‰RIENCE ET CONNAISSANCES
  • Formation post secondaire en administration ou similaire plus une expİrience minimum d'un (1) an en ressources humaines ou une combinaison de formation et d'expİrience jugİe İquivalente
