SUMMARY



Under the supervision of the Vice-Rector, Administration and working closely with the Rector and the firm selected for our major funding campaign over the next three years, the incumbent contributes to strengthening the link between the institution, its alumni, and its donors. In collaboration with internal and external teams, they will design and implement strategies to actively engage graduates, while supporting the institution's philanthropic goals. The Manager manages the day-to-day workload of the team to ensure effective and efficient service and to achieve the Office's objectives, including the planning, evaluation and allocation of the Office's human resources.


DETAILS OF RESPONSIBILITIES



Alumni Engagement:



Develop and execute programs that encourage graduate engagement through events, digital communications, and strategic initiatives. Create and oversee meaningful alumni events, such as reunions, conferences, panels, and networking opportunities. Implement tools and resources to include graduates in institutional initiatives (professional opportunities, etc.). Build an alumni association and act as the primary point of contact for alumni, facilitating their ongoing engagement with the university and supporting their contributions to strategic initiatives.
Donor Relations:



Manage a portfolio of current and potential donors, fostering strong relationships and supporting fundraising campaigns. Develop funding proposals and coordinate donor recognition and loyalty activities, particularly in conjunction with the firm selected for the major donation campaign and with the Rector.


Digital Communication & Strategy:



In collaboration with the Communications and Marketing department, develop communications for alumni and donors, including via e-newsletters, social media and website updates. Develop engaging content to showcase the inspiring careers of alumni and donors, in collaboration with the Communications and Marketing department.


Database Management:



Import data from CSV or Excel files using a database, including information on new graduates or donors, address updates, events, and financial contributions. Generate targeted lists for specific campaigns, in particular the major campaign, by creating queries to segment graduates according to their academic programs and geographical location or segment donors by category (donation amount, frequency, seniority). Identify and merge duplicates, while regularly checking for consistency in key data (such as graduate statuses and donation amounts) to ensure the integrity of information and avoid errors in reporting or communications.


Gift Processing:



Responsible for recording and processing donations in the database, issuing tax receipts and thank you letters, and managing online and recurring donations to ensure they are properly allocated and tracked. In collaboration with our financial services, reconcile donations with bank deposits, ensure the management of special funds (scholarships, projects) and provide impact reports to donors to show the use of their contributions as well as a regular report to the Rector's office to measure the performance indicators of the service. Conduct regular check-ins to ensure accurate records and transparency of fundraising processes, in collaboration with the finance team


Institutional Collaboration:



Participate in the intersectoral committee "Development and Outreach" in the Office of the Rector with other departments, including Communications and Marketing, Strategic Partnerships and Internationalization. Work in partnership with other departments (e.g., Faculties, Schools, Services, and Centres) to integrate alumni or donors into key initiatives. Collaborate on a regular basis with the Financial Services and the Registrar's Office to keep our graduate lists up to date. Recruit, train and support alumni ambassadors to represent them at events.


Required Qualifications:



Two to three years of experience in alumni relations, fundraising or community engagement, and targeted communications. Ability to network and build lasting relationships, including face-to-face at events and on social media such as LinkedIn. Experience in CRM database management and segmentation, with a strong grasp of data management tools. Autonomy and resourcefulness in a small, dynamic environment. Possess financial skills. University degree in a relevant field (marketing, administration, communication, etc.). Bilingualism (French and English) at a very high level required.


Assets:



Experience in the post-secondary education sector or not-for-profit organizations. Knowledge of digital tools and platforms for event management and alumni relations (e.g., Raiser's Edge) and/or very fast and high learning ability.
