Description: Legal Administrator This position encompasses a variety of administrative and work product duties essential to the seamless and efficient operation of a small law office. The ideal candidate will welcome meeting new people on a daily basis and putting them at ease with their conversational skills and mannerisms. Job Summary We are a small, boutique law firm with two attorneys (and a part-time financial administrator) seeking a full-time Legal Administrator to support our daily operations. Our ideal candidate is proactive and personable, trustworthy, people-oriented, and well-organized, someone who thrives in a client-facing role. In addition to a myriad of administrative responsibilities, you will be our Director of First Impressions, and generally the first person that clients of our successful 30+ year practice will hear or see. Our Legal Administrator plays a key role in client experience, workflow organization, and day-to-day operations. This role requires a high level of professionalism and proficiency in Microsoft Office products. Past administrative or legal experience is not necessarily a prerequisite, but is considered a plus. Key Responsibilities Serve as the first point of contact for clients, vendors, and visitors, both in person and by phone Manage attorney calendars, schedule meetings, and coordinate appointments, both in-person and virtual (Zoom) Prepare, proofread, and format client correspondence and certain legal documents Create and maintain client files (electronic and physical) and ensure accurate record-keeping Handle incoming and outgoing mail, email, and phone communications Support attorneys with client case administration and general office needs Maintain office organization, supplies, and administrative systems Qualifications & Skills Outgoing, professional demeanor with strong interpersonal and social skills Exceptional verbal and written communication abilities (proper grammar and spelling is a must) Strong organizational skills with consistent attention to detail Ability to dependably manage multiple priorities and work independently Work Environment Small, team-oriented law office with direct interaction with attorneys Opportunity to play a key role in the firm's daily operations and client experience, with commensurate opportunity for growth Position Details Hours: Full-time, Monday-Friday (8:30 a.m. - 5:00 p.m.) Salary Range: $50,000 - $65,000 annually, depending on depth of administrative experience, with the potential for future pay increases commensurate with performance and ongoing contribution to our firm's goals Benefits Paid time off and paid holidays (Memorial Day, Independence Day, Labor Day, Thanksgiving, Christmas, New Year's Day) Supportive, cooperative team-oriented work environment Direct collaboration with attorneys and meaningful client interaction Opportunity to grow with a small, specialized practice
