Description: TEMPORARY PART-TIME VOLUNTEER & COMMUNITY PROGRAMS ASSOCIATE ABOUT BOSTON ATHLETIC ASSOCIATION The Boston Athletic Association (B.A.A.) is a non-profit organization with a mission to promote a healthy lifestyle through sports, especially running. The B.A.A. is committed to a world where all people can access and benefit from running and an active lifestyle. The B.A.A. advances its mission and vision by organizing mass-participatory running events such as the Boston Marathon, creating or supporting community fitness events, and sponsoring a running club that serves the greater Boston area. ABOUT THE ROLE Reporting to the Volunteer Program Manager, the Volunteer & Community Programs Associate will support the B.A.A.'s volunteer, community engagement and community programming activities during one of the busiest times of year - leading up to and through the Boston Marathon. They will be responsible for providing excellent customer service to B.A.A. volunteers and community members, while assisting with programmatic needs, such as volunteer check-in, creation of training materials, and communications to participants. They will have an opportunity to positively impact a variety of individuals within the B.A.A.'s network and create a high-quality experience for all. Anticipated hours & schedule: approximately 10-20 hours per week, January 2026-June 2026. Higher volume expected near the Boston Marathon (April 20, 2026). Occasional weekend and evening hours/events can be expected and will be scheduled in advance based on availability. Eligible candidates will be able to be on site on the following dates as well: - Six days in March for Packing Projects (likely the Week of March 9th, Week of March 16, or Week of March 23). - Boston Marathon Race Week in April (Thursday - Monday, all day). - Boston 10K (June 21, 2026). RESPONSIBILITIES Boston's Marathoners / Medley to Marathon Program: - Coordinate with Captain/Coaches around training, planning and participant support. Commented AL2: add a sentence similar to "Occasional weekend and evening hours/events can be expected, and will be scheduled in advance based on availability." - Support the creation of participant resources, and training sessions - Perform administrative duties, such as identify and book venues, order food and materials for training sessions, survey distribution and analysis, program reporting, and equipment pickup and return. Boston Running Collaborative (BRC): - Support successful BRC meetings by coordinating schedules, venue, food and beverage, agendas, invitations and RSVPs, and post-event communications. - Participate in planning meetings and complete administrative duties, such as volunteer recruitment and registration, supply inventory, outreach, invoice collections, participation communications, and reporting. Community Programs & Events: - Assist with preparation for events such as the B.A.A. Invitational Mile, Neighborhood Fitness Series, and more. Attend operational meetings on event logistics. - Manage recruitment activities for Invitational Miles, including coach outreach, participant form completion, and participant bios/headshots. - Coordinate uniform pickup for Invitational Miles. - Manage coach outreach and recruitment pre-event. - Support the B.A.A. Invitational Miles and Relay Challenge in person. Lead on-site logistics, including coach and participant check-in, shirt and medal distribution, and coordination with Mass Track and Field Officials. Volunteer Program: - Provide excellent customer service to potential and current B.A.A. Volunteers. o Respond to email inquiries sent to , as assigned. - Lead medical credential checking for Boston Marathon medical volunteers. - Assist with the creation and revamping of materials for Boston Marathon volunteers including educational emails, volunteer seminars, Team Captain trainings, and more. - Assist with administrative tasks leading up to virtual volunteer seminars, such as distribute calendar invites, create agendas, and document attendance/notes. - Support the creation of educational and training materials for Boston Marathon Volunteers. - Lead volunteer check-in locations on race weekend, as assigned. - Support special projects including, but not limited to: o Boston Marathon Volunteer Jacket Packing (3 days in March)- counting, packing, and organizing of 12,000 volunteer jackets with Volunteer Program team. o Boston Marathon Volunteer Materials Packing (3 days in March)- counting, packing, and organizing of materials for 9,500 volunteers with Volunteer Program team. General: - Support initiatives, such as the Pursuit Program, as requested (e.g., bib distribution, content capture, credentials, entries, communications). - Perform administrative tasks for the Community team, such as add events to website calendar, content capture, data entry and audits, reporting, and on-site event support. This said, we are most likely to be interested in your candidacy if you can demonstrate the majority of the qualifications and experiences listed below. - 1-3 years of relevant experience, such as customer service, volunteer support, community outreach, nonprofit program assistant, or event operations. - Passion for community engagement and promoting a healthy lifestyle through sports. - Exceptional customer service skills and interpersonal communication -comfortable engaging with volunteers, participants, partners and the public in a professional, friendly manner. - Strong planning and organizational skills. Detail oriented; experience with accurate data input or management. - Ability to work both independently and as part of a collaborative team - proactive, reliable, and comfortable taking initiative when needed. Able to make responsible, informed decisions during events. - Demonstrated commitment to advancing diversity, equity, inclusion, and accessibility. - Proficient in Microsoft 365 tools, including Outlook, Excel, Word, and PowerPoint. Experience in Salesforce a plus. - Available to work flexible hours, including early mornings, evenings, and weekends. - Able to assist with on-site event setup and operations (e.g., lifting boxes, setting up tents, directing volunteers, etc.). WORK EXPECTATIONS AT B.A.A We are a hands-on team and seek employees who are passionate about our work and service to our community. The Volunteer & Community Programs Associate is a temporary part-time nonexempt position. The role will require working some weekends and evenings. There will be longer work hours surrounding events.
