Your Impact
You will work closely with the Managing Attorney to align the firms operational strategy with our mission to provide the highest-quality client care. The COO will drive firm-wide performance by monitoring KPIs, streamlining internal systems, and building a high-performance team culture.

$130,000 Responsibilities:
This position is primarily in-person in our firm's main office in Garner, NC.
Leadership & Culture
- Act as a strategic partner to the Managing Attorney
- Set and enforce firm-wide performance metrics tied to client satisfaction, case resolution efficiency, and revenue targets
- Promote a values-driven, client-focused workplace rooted in accountability and results
Operations Management
- Own day-to-day operational performance, including workflow optimization across departments
- Develop and enforce SOPs that increase internal efficiency and reduce client friction
- Evaluate and upgrade systems to improve turnaround time, accuracy, and client communication
- Oversee and refine the client feedback process, ensuring timely follow-ups, resolution of concerns, and ongoing improvements to the client experience
- Provide leadership in implementing the Entrepreneurial Operating System (EOS)
Finance & Analytics
- Oversee budgeting, financial forecasting, and billing systems
- Analyze firm performance through KPIs such as profit per case, revenue per employee, client acquisition cost, and matter lifecycle time
- Present actionable insights to ownership to guide the firm's strategy
HR & Talent Development
- Lead recruitment, onboarding, and professional development aligned with firm values and performance standards
- Implement objective performance evaluation metrics and growth pathways for staff
Marketing & Growth
- Coordinate marketing initiatives that attract high-value clients
- Monitor lead conversion metrics and client experience data to refine client acquisition strategies
- Work with marketing professionals to align and evaluate ongoing marketing efforts
- Create and document systems and processes that can be replicated across multiple locations
Compliance & Risk Management
- Ensure firm operations comply with applicable laws, ethical rules, and confidentiality requirements
- Maintain secure, streamlined administrative systems for client and firm data
Success Looks Like:
- 80%+ client response rate to satisfaction surveys with a consistent score of 8 out of 10
- Average matter lifecycle reduced by 1520% year over year
- Team retention rate of 90%+, with documented staff engagement and growth plans
- Administrative team consistently meets or exceeds quarterly KPI benchmarks (e.g., case onboarding timelines, billing accuracy, client communication standards)
- Firm leadership receives real-time data for informed decision-making and sustained growth

Performance-Based Bonus Structure
- Bonus eligibility is based on quarterly and annual firm-wide performance in the following areas:
Client Experience Metrics
- % of clients completing post-matter feedback surveys
- Average client satisfaction score
- Reduction in client complaints or escalations
Operational Efficiency
- Timeliness of new client onboarding
- Average days from consult to document delivery or case closure
- Reduction in administrative errors (billing, scheduling, documentation)
Team Performance & Retention
- Staff retention and satisfaction metrics
- Timely completion of performance reviews, training milestones, and coaching plans
- Demonstrated team growth and promotion readiness
Financial & Growth Targets
- Meeting quarterly revenue and profit margin targets
- Budget adherence and expense control
- Conversion rates of qualified leads and referral tracking
Bonuses are awarded quarterly, with an annual performance multiplier for exceeding year-end benchmarks. Qualifications:
- 7+ years of experience in legal, medical, or professional services operations, with at least 3 years in an executive or leadership role
- Strong leadership skills and proven ability to manage cross-functional teams
- Proficient in financial oversight, performance analysis, and project management
- Prior experience setting and tracking operational KPIs in a professional services firm
- Exceptional communication skills and commitment to client-centered thinking
- Familiarity with law firm technology platforms (e.g., Clio, QuickBooks, HRIS systems) is a strong plus
- Experience managing overseas employees preferred
