Position Summary


The HR Administrative Assistant provides critical administrative and operational support to the Human Resources team. This role supports the full employee lifecycle, including onboarding coordination, data entry, compliance tracking, and internal communications. The ideal candidate is highly organized, detail-oriented, and enjoys supporting a busy HR team with a wide variety of tasks.











Responsibilities



  • Track relocation reimbursement agreements, Employee Referral Bonus and related documentation for new hires, ensuring proper coordination with accounting.

  • May act as backup for receptionist, phone coverage, or other administrative duties.

  • Assists with delivering core HR processes like onboarding, hiring, terminations, retirements, and other program implementations.

  • Support HR team with benefits administration and Open Enrollment processes.

  • May be responsible for performing company database or system administration tasks, including data input, reporting, user support, and upgrades.

  • Completes routine data entry, report generation, and audit activities to ensure the accuracy of employee data in HRIS systems

  • Respond to employee inquiries and redirect to appropriate HR staff as needed.

  • Maintain up-to-date and compliant employee records, including personnel files, training and certification records, and Self-ID forms (VEVRAA, disability, dual citizenship).

  • Track internal HR compliance requirements such as completed handbook acknowledgments, required training, and LMS reporting.

  • Maintains physical personnel files and tracks retention of files.

  • Coordinate with hiring managers and IT to request equipment, tickets, and workspace setup for new hires prior to start date.

  • Help ensure compliance with company policies and employment laws by supporting document filing and labor law postings at all locations and in internal systems.

  • Perform all other duties in the best interest of the company or as directed by the Director of Human Resources.







Minimum Qualifications



  • High school diploma or equivalent;

  • 3+ years of administrative support experience.

  • Experience generating reports using Excel and other related reporting systems.

  • Ability to manage confidential information with professionalism and discretion.

  • Must be able to multi-task and be extremely well organized.

  • Must possess the ability to work within a variety of ERP systems. Experience with Microsoft Office suite of products.

  • Ability to communicate with others to exchange information both orally and in writing.

  • Citizenship: U.S. Citizen or qualified U.S. Person in accordance with ALU 22CFR 120.15. May require the ability to obtain DOD security clearance.







Preferred Qualifications



  • 2 years of Human Resources Administrative experience.

  • Experience in a federal contractor or manufacturing environment.







Physical Requirements



  1. Must have the following physical abilities:



  • Ability to stoop, kneel, crouch, bend, stretch, reach, and lift.

  • Ability to lift up to 50 pounds regularly.

  • Ability to sit or stand for extended periods at a desk or table as well as machine tools or printers.
