Position: Accounts Payable Assistant


Description: SUMMARY Compiles and maintains accounts payable records by performing the following duties. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Reviews, inputs and posts all accounts payable invoices into accounting software. Manually enter and code invoices into system Process invoices and receivers Process weekly check run, ACH and wire transfers (approximately 140 invoices weekly) Reviewing and processing salesman expense reports Purchase order reconciliations Research and resolve payment and invoice discrepancies Participate in special projects as needed Assists Accounts Payable Supervisor in the preparation of payable checks. Assists Accounts Payable Supervisor with the preparation of all management reports. Maintains vehicle maintenance records in Excel spreadsheet, noting all maintenance performed on company vehicles. Reviews expense reports submitted by management and employees ensuring reports have been completed properly and have appropriate documentation. Maintains Accounts Payable files. Maintains Certificates of Insurance Binders, notifying appropriate entities regarding renewal of Certificates. SUPERVISORY RESPONSIBILITIES This job has no supervisory responsibilities. QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE High school diploma or general education degree (GED); or three to six months related experience and/or training; or equivalent combination of education and experience. LANGUAGE SKILLS Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. MATHEMATICAL SKILLS Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages and volume. Ability to apply concepts of basic algebra. REASONING ABILITY Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. CERTIFICATES, LICENSES, REGISTRATIONS None are required at this time. COMPUTER SKILLS General understanding of accounting software specific to accounts payable. Ability to enter data into accounting software promptly and accurately. Have basic knowledge of Microsoft Word, Excel, or comparable software. Ability to operate a 10-key calculator. Must be able to file information alphabetically and numerically.
