Description:


We have an exciting opportunity for a proactive, talented Executive Assistant to join our growing team. The role is focused on providing administrative support to the Senior Director of Global Marketing Ops Transformation & Enablement and more broadly for the business operations and change management teams. You will need excellent coordination skills; experience of finance process & tools; excellent Outlook, Word, Excel and Powerpoint skills; an ability to learn new tools/systems quickly and a passion for delivering results through effective teamwork.


Core responsibilities:


. Support for Global Marketing Ops Transformation & Enablement team
o Diary and workload management, seamlessly organising and maintaining extremely busy and constantly changing diaries
o Assisting with events management, team meetings and supporting with group events when required
o Minute taking and ensuring all actions are captured and followed up
o Ensuring team leads are fully prepared for all key meetings with stakeholders across the Global Marketing organisation, preparing context and background information as required
o Respond to enquiries and requests; ensuring all key contact enquiries are handled efficiently and effectively, seeking answers and resolving matters personally where appropriate
o Proactive follow up of management meetings and off site actions with key stakeholders to ensure timely delivery
o Assisting the wider team with group meetings/travel/expenses
o Creating travel itineraries when required
. Procurement and Legal process support
o Support with the process of managing vendor contracting processes through Legal & Procurement approvals
o Become subject matter expert for Legal & Complaince processes & tools to ensure all key team activities are managed on time and go through the correct process & procedures
. Compliance & Training
o Developing/tracking team progress against key training modules
. Supporting other key team projects as required

Essential Requirements:


. Experience: 5+ years experience in similar roles
. Skills & Abilities: strong organisation/prioritisation skills, high standards and attention to detail, a self-starter with a can-do attitude, ability to deliver in a fast-moving/ambiguous environment; professional demeanour & ability to engage at a senior level, customer focused, team player
. Knowledge required: Outstanding Excel, Powerpoint, Outlook & MS Office Suite knowledge
