Position: Executive Assistant - 12 month contract


Description:

We have an exciting opportunity for a proactive, talented Executive Assistant to join our leading fin tech client's growing team. The role is focused on providing administrative support to the Senior Director of Global Marketing Ops Transformation & Enablement and more broadly for the business operations and change management teams.

You will need excellent coordination skills; experience of finance process & tools including; Outlook; Word; Excel; PowerPoint. Ability to learn new tools/systems quickly and a passion for delivering results through effective teamwork.


Core Responsibilities:

  • Support for Global Marketing Ops Transformation & Enablement team
  • Diary and workload management, seamlessly organising and maintaining extremely busy and constantly changing diaries
  • Assisting with events management, team meetings and supporting with group events when required
  • Minute taking and ensuring all actions are captured and followed up
  • Ensuring team leads are fully prepared for all key meetings with stakeholders across the Global Marketing organisation, preparing context and background information as required
  • Respond to enquiries and requests; ensuring all key contact enquiries are handled efficiently and effectively, seeking answers and resolving matters personally where appropriate
  • Proactive follow up of management meetings and off site actions with key stakeholders to ensure timely delivery
  • Assisting the wider team with group meetings/travel/expenses
  • Creating travel itineraries when required
  • Procurement and Legal process support
  • Support with the process of managing vendor contracting processes through Legal & Procurement approvals
  • Become subject matter expert for Legal & Compliance processes & tools to ensure all key team activities are managed on time and go through the correct process & procedures
  • Compliance & Training
  • Developing/tracking team progress against key training modules
  • Supporting other key team projects as required


Essential Requirements:

Experience: 5+ years experience in similar roles
Strong organisation/prioritisation skills
High standards and attention to detail
Ability to deliver in a fast-moving/ambiguous environment; professional demeanour & ability to engage at a senior level
Customer focused
Knowledge required: Outstanding Excel, PowerPoint, Outlook & MS Office Suite knowledge
